Introduction to Sheets

In Smartsheets, the Director will work with the Project Manager to set up your project sheet based on your course development timeline. Although you will not need to know how to set-up your project's sheet, the video below reviews Sheet features and the different "views" you will encounter.


Note: Certain features such as setting up filters are only available to licensed users. iDesign generally does not purchase a Smartsheet license for contractors. Your assigned Director will request a license for you if your role requires it.

Accessing Your Sheets

Not everyone accesses their sheets the same way! Review this help article for information on how to find sheets, pin important items, and easily scroll through what you are working on.


Elements to Focus On

Each task is on a separate row. The main areas to focus on are % Complete, Status and Comments. As you complete those tasks you will mark the % Complete column to 100%. When you do that, the Status column will automatically update.


Comments

You are also welcome to put in comments in the Comments column for anything which may impact the project dates. Examples can be notes of items you are waiting for, upcoming meetings or next steps as well as any issues you are having. By doing this you are keeping the project information flowing correctly so that we can anticipate any needs or issues that may arise. We also utilize this information to prepare other departments for what and when they will be needed such as Copy Editing and Quality Assurance.


Making Row Updates

When changing a sheet such as adding or deleting rows, reorganizing tasks, etc. we ask that you reach out to a PM for help. The sheets are set up with lots of formulas, links and information that could be accidentally deleted, erased or switched around. The PM team is here to help project teams see things they might not notice at first.



EXAMPLE 
You would like to cut down time and think there are some line items that can be updated with a smaller amount of allocated days. Your PM can help to facilitate that conversation so we make sure each team has enough time to do their job as well as make the deadline we are working towards with a quality course.
