This article covers the steps to share a calendar located in an external Outlook account so it can be viewed along your iDesign Google Workspace calendars.


Google allows you to add or subscribe to shared calendars right inside the Calendar web app. In order to add an external Outlook calendar, you'll need to access or create the shared URL (ICS link). 

The best way to create this link is to log into your Outlook account via the Outlook.com website, and share the calendar inside the settings menu, covered in the steps below.



Step 1:


Log into your Outlook account via Outlook.com with your account username and password. In some cases, your email address may be maintained by another organization, in which case you should use the web access portal used by that organization.


Access the 'Settings' menu by clicking the gear icon in the top right corner of the webpage.



Step 2:


Inside the Settings window, navigate to the 'Calendar' menu, then to the 'Shared Calendars' option in the middle pane. 



Step 3:


Under the 'Publish a calendar' section, select the calendar you wish to share in the drop-down list.



Step 4:


Select the calendar permissions for this shared calendar, then click 'Publish'.

  • 'Can view when I'm busy' will only show events on this calendar as 'busy'
    • This option is recommended when sharing a calendar with someone other than yourself
  • 'Can view all details' will share all details and event information on this calendar
    • This option is recommended when sharing a calendar with another account you own and control



Step 5:


Now that the calendar is published, click the 'ICS link' to copy the link data so it can be pasted into your Google account.



Step 6:


When the link is copied to your clipboard you should see a notification such as the one below. If you do not see a notification, make sure the entire link is copied correctly before moving onto the next step.



Step 7:


Sign into your iDesign Google account and navigate to the Calendar web app from the app selector panel.



Step 8:


On the left hand side of the window, click on the '+' icon under the 'Other Calendars' section. 




Step 9:


In the small pop-up menu, select the option to import 'From URL'.




Step 10:


In the Settings window that comes up as a result of the last step, paste the previously copied Outlook ICS URL (from Steps 5-6) into the 'URL of calendar' field.



Step 11:


Once the link is pasted, the 'Add to Calendar' button will illuminate blue, and you can click this button to complete the process.



Step 12:


You can now access this calendar, and choose to view its events in the side panel on your Google Calendar main page.
